The Scheduler and Worker Schedule help organize contacts and appointments more effectively by considering each worker's schedule. You can view the workers assigned to a specific program, schedule & view their work hours, and check any existing contacts or appointments for a given day - all on one page. This makes it easier to avoid scheduling conflicts or assigning appointments outside of a worker's available hours.
Viewing Scheduled Workers
- From the Dashboard dropdown, select Scheduler View.
- Select a Program from the dropdown to view workers assigned to an agency program. A pop-up will ask, "Scheduled Workers Only?" → Select OK to view only program workers who have set work schedules.
- The Scheduler View shows Worker Schedules (grey), Appointments (green), and Contacts (blue). Unselect any of the boxes to filter the display, like in the Dashboard calendar view.
Unselect the Scheduled Workers checkbox to view all program workers with and without a set work schedule.-
Note: For workers to display on the scheduler for a program, they must be added as a Program Worker to the program in the Program Manager.
- If no workers are assigned to the program when the Scheduled Workers checkbox is unselected or if selected and no program workers have set work schedules, a "None found" message appears under Menu.

Adding a Work Schedule
- From the Scheduler View unselect the Scheduled Workers checkbox filter.

Select the start time on the scheduler in the worker's column and select Work Schedule.
- Alternatively, select anywhere on the scheduler and update the details on the Work Schedule page.
- Update the Work Schedule Details as applicable.
- Select Start Date and Time.
- Select Duration (HH/MM).
- Enter the number of days to Repeat the work hours for the worker (optional).
- Update the Worker dropdown if scheduling for a different worker.
- Select Site (optional).
- Enter any Comments (optional).

- Select Save. A confirmation message will appear along with optional Delete and Copy Work Schedule buttons → use as needed. Select Return to Dashboard to view the Scheduler.
- The Scheduler will update with the worker's new scheduled hours. Hover over the clock icon in the top left corner of the grey time block to see the scheduled hours and any comments.
- Select the clock icon to review or update the Work Schedule Details.

- Hover over the square beside the clock to see the worker's set Site location.
- Select the Dashboard dropdown to view a legend of the Sites and their designated colour. Use this menu to change the Month, Year, and Day displaying on the Scheduler View, select Today or Reset Dashboard to return to the default Dashboard calendar view.

- Alternatively, upload work schedules by selecting Import.
- For workers with the permission to access, the page will redirect to Administration → EMHware Console → Load Data with the Work Schedules Upload Type automatically selected.
- Follow the on-screen instructions → Choose File (must be CSV) → select Upload.
- Follow the on-screen instructions → Choose File (must be CSV) → select Upload.
- To export or print the Scheduler View → select Print.
- The Schedule Search will open in a new window. Complete any applicable searches using the parameters.
- Select Export or Print as needed.
- Select Export or Print as needed.
Scheduling Appointments from the Scheduler View
Client and Workload Appointments can be initiated from the Scheduler View, with or without a set work schedule.
After following the steps above to access the Scheduler View and/or Work Schedules:
- Select anywhere on the Scheduler or on a specific Worker and time.
- Select either Schedule Client Appointment or Schedule Workload as applicable.
- The page will redirect to the Appointments global tab to create a new appointment. Select the Program and complete all appointment details.
- After saving, the Appointment will display on the Dashboard and Scheduler View for any workers set as Worker or Worker(s) in the appointment details. The same functionality applies to Contacts.
