Q: Does the Expiry Date field in a case data provide notifications?
A: Currently, the Expiry Date field in a case data does not provide notifications and is a display feature only. Users can search for expired case data in the global case data tab using the Expired checkbox, and Expired After and Expired Before date field search parameters.
Q: Can I review the case data type of many clients at once?
A: Yes, in EMHware's Report Suite, users can run one of the case data reports in the Custom Reports section. The Case Data Data Extract in Column Format is the most popular.
Q: Do case data require a client?
A: No, case data does not require a client. To create a case data without adding a client, navigate to the global Case Data tab and select +New. These case data can only be searched and reviewed in the global case data tab using the Without Client checkbox search parameter.
Q: Is there a way to flag important case data in a client file?
A: Yes, case data types can have an icon assigned, and when it has been authenticated, the icon will display next to the client's name with other flags and risk factor icons. When reviewing the case data search screens, the third column with this icon will display the case data's icon. Or if a unique icon is not chosen, the ?! icon will be defaulted.
Q: Is there a way to create a new dataset from case data?
A: Yes, there is the option for case data forms to be set and built as "create client" forms. These case data must first be created with the new client's information in the global Case Data tab. Once completed, select the Create Client button next to Save and a new client dataset and file will be created from the form. The form will be accessible in the case data tab in the new file.
- The Program chosen for the "create client" case data form will create a program history at the First Contact stage in the new file.
- First Name, Last Name, DOB, and Gender are required fields to be included in the case data. All other fields can be customized. Fields that are set to populate into the file, for example, other dataset fields, will also populate in the file when it is created.

Q: How do I print case data from a client file?
A: Individual case data can be printed from within the Case Data tab of a client file or send to the client's attachments by selecting the PDF button.
- Workers with permissions to access the EMHware Support Suite can print case notes in bulk for one or more clients. Navigate to the Reports global tab > EMHware Report Suite dropdown > Custom Reports > and run one of the Case Data reports as applicable.
- As of May 2025, admins can assign a role permission to users as applicable to export case data and other sections of the file in bulk by date parameters. This feature can be reviewed in the Client File Export article.
