Bed Records track and document bed usage for your residence. A bed record is linked to a selected program, assigned to a client, and includes bed status, bed, and optional waitlist details for arrival & departure dates and priority.
Bed Records can also be created in the global Beds module through the Beds Menu, with or without assigning a client. When adding a bed record through a client file, as outlined below, the client will automatically be assigned.
Navigate to a client file. The Beds module can be accessed either by selecting the Client Menu → Beds Management or by selecting the Beds tab. Use the parameters to search for existing bed records.
- Select
New to create a Bed Record.
- Edit Date as needed.
- Select Program → update Worker as applicable.
- Select Status.
- Optionally enter Wait Start Date, Wait End Date, and Wait Priority. These options and corresponding search screen parameters only display if your agency is using the Wait List feature of the Bed Management module.
- Optional, but recommended to enter an Arrival Date.
- Enter Departure Date. It's recommended to set an expected departure date to better anticipate future bed assignment needs. This field can be updated if the date changes.
- Select Bed. A bed is required when the Wait Start Date is not set.
- Optionally add any applicable Attachment(s).
- Select Save. When the bed record is completed, authenticate the record.

- The current functionality to discharge a client's bed from a bed record, when authenticated → Unlock Bed Record → update Status → Save and Authenticate.
- Alternatively, users could include in their workflow of Bed Records to only authenticate upon discharge. Allowing for workers to update Departure Date and Status then Authenticate the record only once.
