Your first step as an Administrator is to connect with your OHA contact and EMHware Account Manager to complete the required paperwork and billing setup for IDS Reports and Submissions. Once this step is complete, the implementation process will begin.
Implementation & Onboarding Steps for IDS Reports
- Begin by registering your agency for IDS reporting with both EMHware and OHA.

Obtain Your Agency’s IDS Identifiers → OHA will provide you with your agency's IDS Facility and IDS Institution IDs.

Receive Your EMHware Onboarding Package → Your Implementation Specialist will send an onboarding package that includes mapping templates and reference materials.
The package for the IDS Community Support Service and Hospital Clinic MDS (CSS) report will include:- CSS Mapping spreadsheet
- IDS Community Clinics Reference Table Collection (EMHware Clients) → follow directions on the Read Me tab

Submission Reminders:
- Client IDs must be unique, numeric only, 2-15 characters.
- The IDS‑CSS CSV export can be opened for review, but it must not be edited or re‑saved in Excel. Any save action will cause Excel to reinterpret fields and incorrectly modify date values. Submit the file exactly as exported.

Map Your Custom EMHware Values to IDS Reporting Requirements → Review applicable spreadsheets and provide custom values.
Work with your assigned EMHware Implementation and/or Support specialist to update the reference table spreadsheet with your custom values as applicable. Custom descriptions should not exceed 80 characters.
Important Note: If you change or add custom values for any dropdowns used in IDS reporting after the initial implementation, your data may be rejected by IDS. Please contact EMHware Support and OHA to request any updates so new values can be properly mapped and validated.

Finalize Implementation and Complete Testing → Once onboarding is complete and mapping has been confirmed for all custom values, schedule testing and follow our IDS Reports article for instructions to:
Enter your Facility and Institution IDs
Run IDS reports
Export your report data

Next Step: Once you have completed the steps outlined above, your agency must connect with IDS directly to obtain their official submission documentation and guidance for submitting your exported data.
After implementation, onboarding, and testing are completed → schedule go-live date for your production site with EMHware.
